Who we are

Eaglix Freight Ltd ("Eaglix", "we", "us") is a UK freight and logistics company registered in England and Wales, at 73 Norman Street, Birmingham B18 7ER. We are the data controller for the personal information described in this policy, which covers our website, our quote and booking pages, our delivery tracking pages and the Eaglix Driver app for iPhone and Android.

Questions about your information? Email info@eaglixfreight.co.uk or call 07438 569191.

Customers: what we collect and why

When you ask for a quote, book a job or contact us, we collect:

  • your name, email address, phone number and company name (if you give one)
  • collection and delivery addresses, dates and times
  • a description of the goods and any notes you add
  • your replies to our quotes, and the messages you send us

We use this to price and carry out your delivery, keep you updated, answer your questions, invoice you and keep business records. Our lawful basis is to take steps towards and perform our contract with you, and our legitimate interest in running the business. We keep accounting records for as long as UK law requires, normally six years.

During a delivery we record proof of delivery: a photo of the goods at the drop and, if given, the name of the person who received them. We use it to confirm delivery and to resolve any dispute.

Live tracking pages

Your tracking link shows the progress of your delivery, the driver's first name, their van type and the van's location while it is on the way. Anyone with the link can see this, so only share it with people you trust. The link stops showing the van's location once the delivery is complete.

Drivers: what we collect in the Eaglix Driver app

If you drive for us, we collect:

  • Account details: your name, email address, mobile number, van type and registration.
  • Job records: the jobs you take, each status update you make and when, and the pay agreed for each job.
  • Proof of delivery photos you take with the app's camera.
  • Your phone's notification token, so we can alert you to new and changed jobs.
  • Your location, only while a job is live (see below).

We use this to offer and assign work, coordinate deliveries, show customers where their delivery is, pay you and keep records. Our lawful basis is our contract with you and our legitimate interest in running safe, reliable deliveries. We also check your driving licence, insurance and vehicle before approving you, which we do outside the app.

Location data

The Eaglix Driver app shares your location only while one of your jobs is in progress: from when you tap "Start" on a job until you mark it delivered, or dispatch cancels it. This includes while the app is in the background, for example while you navigate in Google Maps or Waze, so that dispatch and the customer can follow the delivery. While location is being shared, your phone shows a notification (Android) or a location indicator (iPhone).

We do not collect your location when you have no live job, when you are signed out, or for any purpose other than the delivery. Location points are stored with the job so we can answer questions about it, and are deleted after 12 months. You can turn location off at any time in your phone's settings, but customers will then not be able to see the van.

Website and cookies

Our website does not use advertising or analytics cookies. If you sign in to the admin or driver areas, we use essential cookies to keep you signed in. Our hosting provider keeps standard server logs, such as IP addresses and the pages requested, for security and to keep the service running.

Who we share it with

We never sell your information. We share it only where needed to run our service:

  • Customers and drivers on the same job: the driver sees the customer's name, phone number and addresses; the customer sees the driver's first name, van type and live location.
  • Service providers that process data for us under contract: Supabase (database, sign-in and photo storage), Vercel (website hosting), Resend (email), Expo, Apple and Google (app notifications) and Mapbox (maps).
  • Authorities, such as the police or HMRC, where the law requires it.

Some providers store data outside the UK. Where they do, the transfer is protected by UK adequacy regulations or the UK International Data Transfer Agreement.

How long we keep it

  • Quotes, jobs, invoices and payment records, including proof of delivery photos: six years, as UK tax law requires.
  • Van location points: 12 months, then deleted automatically.
  • Driver accounts: until you delete your account, then as described below.

Deleting your driver account

You can delete your account at any time in the Eaglix Driver app under Account > Delete my account, or by emailing info@eaglixfreight.co.uk. We remove your sign-in, contact details, van details and notification tokens straight away. If you have done jobs for us, we keep the job records, with your name removed, for the six years UK law requires.

Your rights

Under UK data protection law you can ask for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, and ask us to move it to another organisation. Contact us using the details above and we will reply within one month.

If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

Security

Data is encrypted in transit and stored with access controls, so drivers only see their own jobs and customers only see their own delivery. Proof of delivery photos are only available through short-lived private links.

Children

Our services are for adults. Drivers must be 18 or over, and we do not knowingly collect information from children.

Changes to this policy

If we change this policy we will update the date at the top. If a change affects drivers significantly, we will tell them in the app.
